This safeguarding system is used to record, manage and respond to safeguarding and welfare concerns.

We may collect personal information including names, contact details, role within the club or organisation, incident details, welfare notes, safeguarding records, actions taken, and relevant supporting documents.

Where safeguarding concerns involve children or vulnerable people, information may include sensitive personal data. This information is only used for safeguarding, welfare, risk management, legal compliance, and protecting individuals from harm.

We process information under UK GDPR and the Data Protection Act 2018. Depending on the circumstances, our lawful bases may include legal obligation, legitimate interests, vital interests, and substantial public interest.

Safeguarding information is only accessible to authorised users. We may share information with appropriate safeguarding bodies, statutory agencies, police, local authority designated officers, County FA, The FA, or other relevant organisations where necessary to protect a child, vulnerable person, or others from harm.

We will keep safeguarding records only for as long as necessary in line with legal, safeguarding, insurance, and organisational requirements.

Individuals have data protection rights, including the right to access personal data, request correction, request restriction, object to processing in some circumstances, and complain to the Information Commissioner’s Office.
